Marking an Invoice as Disputed

Marking Invoices as "Disputed" to progress or to ensure they are excluded from payment runs.

Introduction

When you flag Sales and Purchase Invoices as disputed, they will be highlighted in the Aged Reports and Supplier Bulk Payments. 

This might be for a Purchase / Sales Invoice where the goods received are in dispute or the amount is incorrect. Both posted Purchase and Sales Invoices (Item or Batch) can be marked as disputed.

If the disputed invoice is in fact in error, refer to Amending Transactions for the appropriate actions.

Adding an ‘Is Disputed’ column to the grid

Add an Is Disputed column to the Item or Batch Invoices grids to quickly see your disputed Invoices.

  1. Click on the Add/Remove Columns icon.
  2. Drag and drop the ‘Is Disputed’ heading into Selected columns. The ‘Is Disputed’ column now appears in the grid.

     

 
 

Marking an Invoice as Disputed

In the listing grid

Go to the relevant sales or purchases listing grid and find your transaction. Under Actions, select Mark as Disputed and click OK

In the Transactions drilldown screen

  1. Access the transaction drilldown by clicking on the Balance link in the relevant listing grid (Customer, Supplier, Bank, GL, and Intercompany accounts, as well as Item and Batch Invoice listing grids).
  2. Then under Actions, select Dispute and click OK.

  1. Go to General Ledger > Actions > Transaction Browser and find the transaction.
     
  2. Under Actions, select Dispute and click OK.
 
 

Clearing a Dispute

If the disputed invoice is in fact in error, refer to Amending Transactions for the appropriate actions.

In the listing grid

  1. Go to the relevant listing grid and find your transaction. If desired, add the ‘Is Disputed’ column to your grid for easy filtering. 
  2. Under Actions, select Clear Dispute and click OK.

In the Transactions drilldown screen

  1. In the relevant listing grid, open the Transactions screen by clicking on the Balance. 
  2. Find the transaction. For easy filtering, add the ‘Disputed’ column to the grid.Under Actions, select Undispute and click OK.

In the Transaction Browser

  1. Go to General Ledger > Actions > Transaction Browser and find the transaction.
  2. Find the transaction. For easy filtering, add the ‘Disputed’ column to the grid. Under Actions, select Undispute and click OK.

Disputed Invoices in Supplier Bulk Payments 

  1. Go to Purchases Bulk Payments and open the relevant payment. 
  2. When you then open your Bulk Payment, any disputed Purchase Invoice will be marked with a grey triangle and cannot be included in a payment run until it is undisputed.

Disputed Invoices in Payments & Allocations 

  1. Go to Purchases > Actions Payments & Allocations.
     
  2. Under the Disp. Column, any disputed Invoices will have a red flag.

Disputed Invoices and Reporting

Go to Reports.

To show the disputed Sales Invoices, go to AP > Transaction Enquiries > Supplier Invoices Due and view the Disputed column.
